However, I was earlier offered by Karl to stay at his place this time and have agreed with him, if at all I do need and overnight stay.

Er, Cyrus, we've always had forms for each event since inception in 2003. Entry is confirmed only once you fill the forms. That you didnt fill them up in the past and came along anyways is a different story.
